Service Description  

This service is intended to control leave application process, and define the entity authorized for approval and required documents.

 
Service Requirements & Condition  
  • The applicant shall obtain the approval of his/her direct manager or administrator.
  • Kinds and conditions of leaves shall be governed by a regulation issued upon Law No. 11/2008 on the Human Resources Affairs within the Federal Government
 
Required Documents 

A leave application duly signed by the applicant's direct manager or administrator.
For sick leave:
From 1 to 5 days: Health certificate issued from a medical entity.
For more than 5 days: Health certificate approved by the Medical Committee is.

For maternity leave: Birth certificate..
For bereavement leave: copy of the death certificate.
For the widow's waiting period leave: Copy of husband's death certificate.

For exam leave:
Official letter from the educational foundation (upon leave request)
Exam attendance certificate (upon return)

For sick person accompany leave:
Certificate from a medical authority demonstrating that the sick person needs a companion.
Certificate from the relevant embassy or health attaché of the country of destination (upon return)
Copy of the passport, demonstrating the entrance and exit stamp (upon return).

For pilgrimage leave: Copy of the passport, demonstrating the entrance and exit stamp (upon return).

For nurturing leave: Birth certificate.

 
Procedures to be followed 
  • The leave application shall be filled and submitted to the relevant administration, as per the employee's place of work (to the Education Zones or the Ministry of Education). Teachers shall fill and submit the leave application to the relevant school, which shall be then referred to the relevant Education Zone;
  • The applicant shall obtain the approval of his/her direct manager or administrator;
  • Management secretary shall send the application to Human Resources Dept., which shall be then referred to the leaves officer (Leaves Section);
  • The leaves officer shall review the application and enters the employee's financial number, and leave start and end date into the General Post System to verify leave balance;
  • The leaves officer shall print, sign and submit a "financial procedure" to the Human Resources Manager for approval;
  • The financial procedure shall be referred to the Financial Dept. to take the necessary action required for salary transfer;
  • Upon return from the leave, a return form shall be filled and submitted to the relevant administration, as per the employee's place of work (to the Education Zones or Ministry of Education). Teachers shall fill the return form and submit it to the relevant school, which shall then refer it to the relevant Education Zone;
  • The applicant of return form shall obtain the approval of his/her direct manager or administrator;
  • The management secretary shall send the return from to Human Resources Dept., which shall be then referred to the leaves officers (Leaves Section);
  • The leaves officer shall review the return form, and enters the employee's financial number and his/her return date into the General Post System;
  • The leaves officer shall print, sign and submit a "financial procedure" to the Human Resources Manager;
  • The financial procedure shall be referred to the Financial Dept. to take the necessary action required for salary transfer; and
  • All documents shall be kept in the employee's administrative file.
